Connecting QuickBooks Online

Professional plans and above can connect QuickBooks Online, so invoices, payments, and trust activity recorded in Mylo Prime appear in your books without double entry.

Connecting

A firm admin connects QuickBooks from billing settings. You’ll sign in to your QuickBooks account and authorize the connection — Mylo Prime never sees your QuickBooks password. During setup you’ll map Mylo Prime’s income and trust accounts to the matching accounts in your QuickBooks chart of accounts. If your accountant set up your chart of accounts, loop them in for this step; the mapping is the part worth getting right.

What syncs

  • Invoices you issue, and payments received against them
  • Trust deposits and disbursements, to the mapped trust liability accounts
  • Client and matter references, so your accountant can tie transactions back

Sync runs automatically. You keep working in Mylo Prime; QuickBooks follows.

Rules of the road

  • One source of truth. Once connected, record client billing activity in Mylo Prime and let it flow into QuickBooks. Hand-editing the synced transactions inside QuickBooks is how books drift apart.
  • Trust matters most. Your QuickBooks trust liability balance should always equal the sum of client trust ledgers in Mylo Prime. If they diverge, something was edited on one side only.

If the numbers disagree

Don’t hand-adjust either side to force a match — that hides the cause and it will happen again. Contact support with a specific example (client, amount, date) and we’ll trace where the divergence started and fix it properly.
